For organizersSetting the door PIN

Setting the door PIN

The PIN your staff type to open the scanner. It is shown once when you set it, and we store only a hash of it.

Door staff do not get EventsForge accounts. They open the scanner with two things: your event's id, and a PIN you set.

Setting it

On the event page, find the Door PIN card and press Set a PIN. Four to eight digits.

The PIN is shown exactly once

When you save it, the card echoes the PIN back once, with the scanner URL, in a "write this down now" box. Navigate away and it is gone — we store only a hash of it, so nobody, including us, can read it back. If you lose it, replace it.

Write down both halves. Your staff need:

  • the scanner URL — /scan/your-event-id
  • the PIN

Finding the scanner link again

Only the PIN is one-shot. The link is not a secret — it is the event id, and it admits nobody without the PIN — so you can come back for it whenever you like.

The Scan tab in the dashboard lists every event with its scanner link, whether a PIN is set, and a Copy link button that copies the full address rather than the short path shown on screen. That is the one to paste into a message to your staff: /scan/... on its own will not open on their phone.

Live and upcoming events are listed first, then finished ones — a PIN keeps working after the last guest leaves, because the scanner is keyed on the event id and not on the event's status.

Replacing and clearing

Replace the PIN sets a new one and invalidates the old. Anyone already signed in on a phone stays signed in until their session expires; the old PIN stops working for new sign-ins immediately.

Clear PIN turns the door off entirely. Without a PIN, the event page shows "No PIN set. Door staff cannot open the scanner for this event yet." — which is also the warning you will see if you forget this step before event day.

What a PIN actually grants

Signing in with the PIN lets a phone download the attendee list for that one event and record check-ins against it. It does not grant a dashboard login, it cannot see orders or money, and it cannot reach any other event.

The scanner cannot create a ticket

A scanner phone never holds the signing key. It can only recognise tickets the server already issued — so a lost or stolen phone can admit nobody who does not already hold a real ticket.
